Privacy Policy

Effective October 23, 2026

1. Who we are and what this policy covers

GaitDesk is run by Daniel J Huber dba GaitDesk ("GaitDesk", "we", "us"). This policy explains what personal information we collect through gaitdesk.com and the GaitDesk web app (the "Service"), how we use it, who can see it, and the choices you have. It is part of the GaitDesk Terms of Service, and terms such as Show Company, Show Staff, Exhibitor and Trainer mean the same here as there.

Two kinds of records. Your account, profile, horses and Trainer Registry listing are GaitDesk's records about you, and we decide how they are used under this policy. A show's records, such as its entries, back numbers, results, bills, payments and signed paperwork, are kept for the Show Company that runs the show. That Show Company also decides how they are used, under its own policies as well as this one.

What this policy does not cover. It does not cover what a Show Company does with information outside GaitDesk, what an association does with results it receives, or how Stripe handles payment details (see section 7). Each of them has its own privacy practices.

2. Information we collect

We collect what is needed to enter, run and follow horse shows. Most of it comes from you; some comes from Show Staff entering it for you, or from the providers in section 5.

Your location in a trainer search. If you search the Trainer Registry near you, your browser's location is rounded to within about a mile and used to sort the results. We do not save it.

3. How we use it

We use personal information only to run GaitDesk and the shows on it:

  • Running shows: sign-ups, class entries, back numbers, the in-gate, scribing, results, bills and payment records.
  • Publishing results and show information on public pages and Live Boards, as the Show Company decides.
  • Flagging eligibility problems, such as an expired membership or a missing health certificate, for the show office to sort out.
  • Taking payments and issuing GaitDesk's invoices to Show Companies, through Stripe.
  • Reading documents. When you upload a document or show bill, an AI service may read it to suggest values that a person then checks and saves.
  • The Trainer Registry: showing listings, sorting them by distance, and passing Contact Trainer messages to the trainer.
  • Email: sign-up and plan confirmations, invoices, renewal reminders, staff invitations, account recovery and messages a show needs to send. We do not send marketing email.
  • Support, security and records: answering questions, preventing misuse, and keeping an audit history of changes to results.
  • Improving GaitDesk, using Google Analytics to see which pages are used and where people get stuck, and, through Google signals, our visitors' age ranges and interests in aggregate.
  • Legal obligations, such as keeping financial records and responding to lawful requests.

We do not sell your personal information. We do use Google's advertising features to show GaitDesk ads, on Google and on sites that work with Google, to people who have visited gaitdesk.com. Some state laws call this targeted advertising, or "sharing" personal information. We limit it to the people who might run shows on GaitDesk or list in the Trainer Registry: visitors who are not signed in, and signed-in show managers, show secretaries and trainers. It is never used for:

  • anyone signed in as an exhibitor, scribe, gate steward or judge, or a browser where one of them has signed in to GaitDesk;
  • a browser that sends a Global Privacy Control signal;
  • visitors outside the United States.

Under our Terms only adults may hold show office or trainer accounts, and every youth account is an exhibitor account, so nobody we know to be under 18 is included. Section 10 explains how to opt out.

4. Who can see it

Anyone, without signing in. A show's schedule, patterns, show bill and details are public. Its class lists show each entry's exhibitor and back number, and the horse with its owner, sire and dam. Its published results and high-point standings add the placing, score or points. Trainer Registry listings are public: a Basic listing shows name, business, disciplines and town, and a Pro listing adds the profile, photos and public email the trainer chooses to publish. A trainer can hide their listing at any time.

The Show Companies you enter. When you sign up for a show, its Show Company and the office staff working that show can see what you gave for that show: your profile details, horses, the documents you attach, your entries, signed paperwork, bill and payments. Scribes and gate stewards see what they need to run their classes, such as names, horses and back numbers.

Others with a part in your records. A horse's owner, and the exhibitors and trainers linked to that horse, can see its record. A trainer sees the messages people send through their Contact Trainer form.

Associations. A Show Company may send results and entry details to an association, for example as an APHA results file. Once sent, the association's own policies apply.

GaitDesk. Our administrators can see records when they need to support you, a Show Company or the Service.

When the law requires it, or to protect people. We may disclose information to comply with a law, court order or lawful request, to enforce our Terms, or to protect anyone's rights, safety or property. If GaitDesk is sold or merged, information may pass to the new owner, who must keep to this policy for what was collected under it.

5. Service providers

GaitDesk relies on these companies to run the Service. Each handles personal information only to provide its service to us, under its own privacy policy.

ProviderWhat it does for GaitDeskInformation it handles
Neon (a Databricks company)Hosts GaitDesk's database, including uploaded documents and photosEverything stored in GaitDesk
RenderHosts the GaitDesk website and app serversEverything passing through the Service, and server logs that include IP addresses
CloudflareRuns the gaitdesk.com domain and passes all web traffic to GaitDesk, protecting it from attacksEverything passing through the Service, including IP addresses
StripeProcesses online payments, Show Companies' own payment accounts and Registry Pro subscriptionsNames, email addresses, payment amounts, and the card or bank details you enter into Stripe's form
ResendDelivers GaitDesk's emailRecipients' email addresses and the contents of each email
AnthropicReads uploaded documents and show bills to suggest valuesThe contents of the document being read. Under Anthropic's commercial terms, it may not train its models on this content
Google AnalyticsMeasures how the Service is used and, through Google signals and Google's advertising features, lets us show GaitDesk ads to past visitors within the limits in section 3Pages visited, device and browser, approximate location and account role, which Google may link to a visitor's own Google account. Never names or email addresses from GaitDesk

Some of these providers store or process information outside your state or country, mainly in the United States.

6. Youth exhibitors and children under 13

Youth exhibitors. Many shows have youth classes, so GaitDesk holds information about exhibitors under 18. For anyone under 18 on a show's first day, the show asks for a parent or guardian's name and phone number. A youth exhibitor's name, horse and placings appear in published results like any other exhibitor's, but nobody signed in as an exhibitor is ever included in GaitDesk's advertising (section 3). A youth exhibitor aged 13 to 17 may have their own account only with a parent or guardian's permission.

Children under 13. We do not knowingly let a child under 13 open an account or give us information directly. A parent, guardian or trainer may enter a younger child in a show, and the information they give is handled under this policy. If we learn that a child under 13 has given us information directly, we will delete it or ask a parent to confirm it.

Parents and guardians may ask to see, correct or delete their child's information by writing to danjhuber@hotmail.com (see section 10).

7. Payments and card data

GaitDesk never stores card numbers. When you pay online, you type your card or bank details into Stripe's own payment form, and they go straight to Stripe. GaitDesk keeps only what the payment was for, the amount, any card fee, the card brand (such as Visa) and Stripe's reference for the payment. We never keep any part of the card number.

Paying a show. An Exhibitor's payment goes to the Show Company's own Stripe account. Stripe and the Show Company handle the payment details under their own privacy policies, and GaitDesk records the payment on your show bill.

Paying GaitDesk. When a Show Company pays an invoice or buys Pro+, or a Trainer subscribes to Registry Pro, the payment goes to GaitDesk's Stripe account. A Trainer's card for renewals is saved by Stripe, not by GaitDesk, and can be changed or removed through Manage subscription.

Payments recorded by the show office, such as cash or checks, are entered by Show Staff and appear on your bill.

8. Cookies and storage on your device

GaitDesk uses a small number of cookies and browser storage. Only Google's cookies are used for advertising, within the limits in section 3.

WhatWhyKind
Sign-in session cookieKeeps you signed inNeeded for the Service to work
gd-layout and gd-sidebar cookiesRemember whether you use the desktop or mobile layout, and whether the sidebar is collapsedPreference
Browser storageKeeps an unfinished Add Horse form, your favorite classes at a show, and which desk sections you collapsedPreference, stays on your device
App cache (service worker)Stores GaitDesk's own page files on your device so it loads quickly on weak show-ground signalNeeded for the Service to work
Google Analytics cookies (_ga, and _ga_ followed by an ID)Count visits, see how pages are used and, within the limits in section 3, let Google show GaitDesk ads to past visitorsAnalytics and advertising
gd-no-ads cookieKeeps GaitDesk's advertising off a browser where an exhibitor, scribe, gate steward or judge has signed in, even after they sign outPrivacy choice

Google Analytics is not loaded on staff invitation or horse transfer links, which carry a private code in the address. You can block cookies in your browser settings, but you will not be able to sign in without the session cookie. Section 10 explains how to opt out of advertising. You can opt out of Google Analytics on every site with Google's opt-out browser add-on.

9. How long we keep information

InformationHow long we keep it
Account, profile and horsesWhile your account is open, and until you ask us to delete it
Uploaded documentsUntil you or the show office delete them, or the account or horse they belong to is deleted
Show records: entries, results, judge's cards, signed paperworkAs part of the show's permanent record. Published results stay public as the show's history
Bills, payments and GaitDesk invoicesAs long as tax and accounting rules require, generally up to seven years, even after an account or company is closed
Trainer listingUntil the trainer deletes it or asks us to. Pro details are kept while Pro is off, so they come back if the trainer subscribes again
Contact Trainer and Contact page messagesAs long as needed to answer them
Google Analytics dataUp to 14 months, then deleted by Google

When we delete information, copies may stay in our database backups for up to 14 days.

10. Your choices and rights

You can ask us at any time, wherever you live, to:

  • see the personal information we hold about you, or get a copy of it;
  • correct it. You can change most of your profile, horses and listing yourself; details given for a past show are corrected through that show's office;
  • delete it. We will close your account and delete your profile, horses and documents. Show records, published results and financial records are kept as section 9 describes, though we can remove your contact details from them;
  • hide your trainer listing from the public registry, which you can also do yourself on your Registry page.

Email. We only send email about your account, your shows, your plan or your listing. These messages are part of using GaitDesk, so there is no unsubscribe from them while your account is open.

How to ask. Write to danjhuber@hotmail.com from the email address on your account, or through the Contact page. We may need to confirm it is you before acting. A parent or guardian may ask for a child, and someone you authorize in writing may ask for you. We will reply within 45 days. If we turn down a request, you may ask us to reconsider by replying to our answer.

Show records. Because a Show Company also decides how its show records are used, we may pass a request about them to that Show Company, or follow its instructions.

Opting out of advertising. Wherever you live, you can keep GaitDesk's ads from being aimed at you:

  • turn on Global Privacy Control in your browser, which GaitDesk honors automatically;
  • turn off personalized ads in Google's My Ad Center;
  • install Google's opt-out browser add-on, which stops Google Analytics on every site.

State privacy rights. Some states, including California and Minnesota, give residents rights such as those above, including the right to opt out of targeted advertising or the "sharing" of personal information for it. The choices above are how to use that right with GaitDesk. We do not sell personal information, and we will not treat you differently for using any of these rights.

11. Security

We protect personal information with measures suited to a small online service:

  • every connection to GaitDesk is encrypted (HTTPS);
  • passwords and security answers are stored only in hashed form, so we cannot read them;
  • access is limited by role and by show, so staff see only the shows they work;
  • the database and the app's internal servers accept connections only with secret credentials kept on our servers;
  • card and bank details never reach our servers (section 7);
  • changes to published results are kept in an audit history.

No system is perfectly secure. Keep your password private and tell us at danjhuber@hotmail.com if you think your account has been misused. If a breach affects your personal information, we will notify you as the law requires.

12. Changes to this policy and how to contact us

Effective date: 10/23/2026.

Changes. We will post any update here with its new effective date. If a change materially affects how we use information we already hold, we will email account holders at least 30 days before it takes effect.

Contact. Questions, requests and complaints about privacy go to Daniel J Huber dba GaitDesk at danjhuber@hotmail.com, or through the Contact page at gaitdesk.com/contact.
